job description - Logistics Assistant (Fleet And Premises Support)

  • The main aim of the FAO country offices, which are headed by an FAO representative, is to assist the government to develop policies, programs projects to achieve food security and to use hunger and malnutrition, to help develop the agricultural, fisheries, and forestry sectors and to use their environmental and natural resources in sustainably ensure zero hunger in the country.
  • FAO provides support in three priority areas: sustainable increase in production and productivity, agriculture-based economic growth, and increased resilience of livelihoods to threats and crises.
  • The current portfolio of projects in Nigeria includes activities related to agriculture (crop), livestock, Fisheries, Natural Resource Management, and Food Security Information Management and Analysis.
  • The incumbent will contribute to FAO logistics operations under the emergency humanitarian work in northeast Nigeria.

Reporting Lines:

  • The logistics assistant will report to the FAO Representative (FAOR) under the direct supervision of the Head of Office of the FAO Northeast office and in close collaboration with the Emergency Operations Specialist. 

Technical Focus:

  • Contribute to FAO Nigeria's efforts in providing humanitarian support to the conflict-affected communities in the northeast of Nigeria.

Tasks and Responsibilities

  • Provide day-to-day logistic support as requested to ensure the smooth operation of FAO emergency project activities in the field.
  • Provide support to arrange local official travel of all project staff, and other relevant parties, which includes, UNHAS rotary (Chopper) bookings, ground transportation arrangements, hotel reservations, Travel Authorization, security clearances, and other documents.
  • Arrange for timely repairs/servicing of office vehicles and office generators in the sub-office
  • Check and record daily logs and fuel consumption for the project and rented vehicles and generators used for the sub-office.
  • Assist the project staff in providing logistic and administrative support to workshops and training sessions.
  • Manage and monitor the performance of all FAO vehicles in the field to achieve maximum utilization, vehicle routing & scheduling for the timely movement of personnel and cargo to the field
  • Carry out Scheduled Maintenance & Repair, Overhaul, Reconditioning, and Modifications, in the most efficient manner with the ultimate objective to ensure that all vehicles are maintained to a high standard and in a roadworthy condition.
  • Responsible for overseeing the Materials Management aspect of the operation and in particular the controlling, justification, and issuance of Spare Parts, tires, lubricants & Consumable Materials at the Area offices and Sub offices level.
  • Assist in the preparation and processing of payments against purchase orders and contracts upon satisfactory delivery of goods and services and vehicle maintenance repairs conducted.
  • Responsible for forecasting and requisitioning of spare parts: Preparation of orders for spare parts tires and materials required for the operation and submitting these requests for approval by the Emergency operations officer.
  • Assist in the preparation of all sorts of contractual agreements with facility owners and services providers i.e., Service Contracts and Lease Agreements, by MS 502.
  • Other tasks as required by the supervisor.

Minimum Requirements

  • University Degree in Business Administration, Logistics and Supply Chain Management, or related Degree. An advanced University Degree is an advantage
  • Working knowledge (level C) of English 
  • Minimum 3 years of experience in the field of the supply chain, logistics, distribution, and warehousing in an emergency context is desirable 
  • National of Nigeria

  • Work experience in more than one location or area of work 
  • Extent and relevance of experience in working in a humanitarian context in the field of agriculture and with deep understanding of agriculture supply chain management and logistics
  • Extent and relevance of experience in working with communities and diverse stakeholders in conflict-affected areas.
  • Familiarity and proven experience in project management and development
  • Excellent command of written and spoken English;
  • Excellent computer skills, communication, writing, and presentation skills;
  • Readiness to carry out visits to project sites and duty travel as required;
  • Flexibility and adaptability to work in emergencies with tight deadlines;
  • Excellent team-building and cross-cultural skills;
  • Experience working with government counterparts, national or international financial institutions, and private sector/ civil society in the field of economic and social development in Nigeria.
